In Organisemee, you can manage your private or professional todos or tasks, ranging from short term task like 'Shop groceries' or 'Call Mr. Jones' to long term tasks like 'Buy a house' or 'Become manager'.
You can create a task by entering at least a description.
Additionally, you can also provide information like priority, due date or the name of the person responsible for executing the task. This should help you both managing and executing the task.
Within Organisemee, a todo or task is the basic element. You can create, change and delete as many tasks as you want. To better organise your tasks, you can also create lists and assign each task to a list.
To not forget a task, you can also assign a reminder for each task.
To create a todo, you need to click on the 'Add task' button, which exists in all views as well as in the inbox and outbox above the task list.
Then the fields for entering a task will be visible.
After entering all the relevant information for the task (at least a description), you add the task by pressing the 'Save' button.
In the now and list view, a newly created task will always be displayed at the top of the task list. You can then create your own individual ranking or sort the tasks.
In all other views, the task will only be visible in the active tab when the task fits to the selection criteria for the active tab.
For each task, the following information are displayed:
Check box, indicating if a task is done or not
- unchecked box = task undone
- checked box = task done
Description of the task
List, which the task belongs to (this information is not shown in the list view)
Priority of the task
Due date, until the task should be done
If a reminder is set for the task
- empty = no reminder
- Clock symbol = reminder set
Who is responsible for executing the task
- empty = you are responsible on your own
- Name of a contact is displayed = task is assigned to a contact
- 'You' is displayed = task has been assigned to you by a contact
Every time you move the mouse pointer above a task a rectangle appears on the right within the task row.
When you click on the rectangle the so-called task menu opens. Depending on the type of task, the entries of the task menu varies:
a) Own task
Archive: by selecting this entry, the task will be moved to the archive. This means, it will not be displayed in any view, only in the archive.
Delete: When selecting delete an alert message appears. After confirming this message the task will be deleted.
b) Task assigned to contact
Message: here you can create and send a message to the contact whom you have assigned the task.
Call back: with this function you can call back the task from your contact.
c) Task assigned to you
Message: here you can create and send a message to the contact who has assigned the task to you.
Give back: with this function you can give the assigned and accepted task back to your contact.
When creating a new task, you need to enter only the description, which can consist of just one character.
All other information (priority, due date, reminder, contact) are optional and can be added later.
You can change each attribute or entry of a task directly in the displayed task within every view.
To change the description, you just need to double-click on the description text.
To change the priority, due date, reminder or contact, you need to move the mouse pointer above the appropriate entry within the row. When clicking on the emerging triangle, either a pull-down menu or a control box appears where you can change the priority, due date, reminder or contact.
Task assigned to a contact
For a task, which you have assigned to one of your Organisemee contacts, you can only change:
- Priority
- Due date
- Reminder
Task assigned to you
For a task, which have been assigned to you, you can change the reminder.
You complete a task by clicking into the check box on the left. Then the box will be checked (displayed by a 'hook'), which indicates that the task is completed.
Also, the description and all other text (priority, due date, etc.) of the task will be strikethrough, until the task will be removed all together. Completed tasks are still visible in all views, but can not be changed anymore. Also they can not be moved to another list.
By clicking again into the check box you can uncheck the box, and therefore re-setting the status of the task to incomplete. Then you can perform again all possible actions on the task.
Task assigned to a contact
Even when you have assigned a task to one of your Organisemee contacts, you can still set the task to complete.
Task assigned to you
Tasks assigned to you can and should be completed by you like your normal tasks.
Organisemee offers you to define in your preferences what happens with completed tasks:
- You can set the duration, how long a task will still be visible, after you have checked it for completion
- Define whether the completed task will be deleted or moved to the archive after the duration to stay visible ended
Depending on your setting, a completed task will immediately disappear from the list of tasks, or it will still be visible for a certain duration.
Completed tasks, which are still visible, will be indicated by strikethrough entries and a checked box. These tasks are still visible in all views, but can not be changed anymore.
When the time of the duration (legacy time) has ended, the task will be removed from its list and therefore will not be visible in the Now, due date or priority view.
Depending on your settings, the task will be deleted altogether, or it will be moved to the archive, where it is still accessible.
To change the description, you need to double-click on the description text. The text will turn into a text box, enabling you to change the description. You need to enter at least one character, empty descriptions are not possible.
Task assigned to a contact
When you have assigned a task to another Organisemee contact, you can not change the description anymore. This is because your contact needs to know what he has to do, so you can not change the description of the task.
Task assigned to you
You can not change the description of a task which has been assigned to you. Only the creator of a task can change the description.
To assign or change the priority, you need to position the mouse pointer above the current priority. Alternative, you need to position the mouse pointer above the empty space in the crossing of the row and the 'Priority' column.
Then, a triangle will appear. When clicking on the triangle, a pop-up menu appears displaying all the possible priority options. After selecting a new priority, the pop-up menu is closed and the new priority will be visible immediately.
Task assigned to a contact
Even when you have assigned a task to another Organisemee contact, you can still change the priority.
Task assigned to you
You can not change the priority of a task which has been assigned to you. Only the creator of a task can change the priority.
To change the due date, you need to position the mouse pointer above the current due date.
In case no entry exists yet, you need to position the mouse pointer above the empty space in the crossing of the row and the 'Due date' column.
When clicking on the emerging triangle, a mini calendar appears displaying the current month. Here you can select a date by clicking on the corresponding number. You can also change the month and year.
After selecting a day the mini calendar will be closed and the new due date will be visible immediately.
Task assigned to a contact
Even when you have assigned the task to another Organisemee contact, you can still change the due date.
Task assigned to you
When the creator of the task has set a due date, you can not change this due date on your own.
To assign a new reminder, or to change or delete an existing reminder, you need to position the mouse pointer above the icon for the current reminder.
In case there is no reminder set yet, you need to position the mouse pointer above the empty space in the crossing of the row and the 'Reminder' column.
When clicking on the emerging triangle, a control box appears. Here you can select, change or remove the reminder. For a description of the options please refer to the FAQ section for reminders.
After confirming the change, the control box will be closed. In case a reminder is set the reminder icon will be displayed.
Task assigned to a contact
Even when you have assigned the task to a contact, you can still set a reminder which will remind only you.
Task assigned to you
Also for tasks, which have been assigned to you, you can set an individual reminder only relevant for you.
To assign a task to a contact, you need to position the mouse pointer above the empty space in the crossing of the row and the 'Assign' column.
Then, a small triangle will appear. When clicking on the triangle, a control box appears which contains both a list with all contacts of other Organisemee users, as well as the contacts created by you. Here you can select a contact by clicking on the name in each of the two separate pop-up menus.
By clicking on the 'OK' button you close the control box, and an icon indicates, that the task is assigned to a contact.
All other actions initiated by assigning the task to a contact are described in the contact FAQ section.
When you have assigned a task to one of your Organisemee contacts, you can not just change the contact.
When you want to either execute the task on your own, or you want to assign the task to another Organisemee contact, you have to call the task back from the contact first.
How to call a task back from a contact is described in the chapter 'Tasks assigned to contact'.
Within the list view, you can order the task hierarchically, meaning a task can be a sub-task of another task.
To create a sub task, you need to press the button "reorganise", which exist within each lists in the list view. When you click and press the mouse pointer above a task, you can
a) indent and release a task
b) sort the task in individual order
You can indent as many task underneath another task as you want.
Overall, you can generate up to three different hierarchical layers.
To end the reorganisation, you need to press the "Reorganise" button again.
To move a task to another list you need to position the mouse pointer above the appropriate entry in the "list" column. Now, a rectangle will appear. By clicking this rectangle, a pop up menu with all the list created by you opens.
By selecting one of the list names, the task will be moved immediately from the current list to the new list.
Task assigned to a contact
You can move tasks, which you have assigned to one of your contacts, to another list.
Task assigned to you
Also tasks, which have been assigned to you, can be moved to another list.
To move a task to the archive you need to position the mouse pointer above the appropriate task. Now, a rectangle on the right side appears. By clicking this rectangle, the task menu pops up where you need to select the entry 'Archive'.
Then, the task will immediately be moved to the archive, meaning it is not visible anymore, neither in the list view nor in any other views except the archive.
Task assigned to a contact
Tasks, which you have assigned to one of your contacts, can not be archived by you. When you want to archive a task, you need to call back the task before.
Task assigned to you
Tasks, which have been assigned to you, can not be moved to the archive. Only the creator of a task can archive the item.
To delete a task you need to move the mouse pointer above the appropriate task. Now, a rectangle on the right side will appear. By clicking this rectangle, the task menu pops up where you need to select the entry 'Delete'. When you confirm the alert box, the task will be deleted.
Task assigned to a contact
For tasks, which you have assigned to one of your contacts, there is no Delete entry in the task menu. Instead you need to select the 'Call back' entry in the task menu first so that your contact will be informed about your intention. Directly after calling your task back, you can open the task menu again. Now the 'Delete' option is available, so that you can delete the task.
Tasks assigned to you
Tasks, which have been assigned to you, can not be deleted by you. Only the creator of a task can delete the item.
